How to Know It’s Time to Outsource (and What to Offload First)

Over time, many business owners take on far too many responsibilities in an attempt to save money and maintain control. However, that only works for a short time. You can only do so much. If you continually try to juggle every task in-house, you’ll burn out and your business will stagnate.

Outsourcing will save you time and money, while giving you access to expertise. In many cases, it’s a better deal and well worth the cost. But you don’t need to outsource everything.

Here’s how to know when and what to delegate.

You’re spreading yourself thin trying to be a jack-of-all-trades

If you’re trying to handle everything yourself, and you have to learn new skills to get it done, that’s a sign that it’s time to start outsourcing. Your time is valuable and certain tasks are better off managed by experts.

For example, if you need a specialized service – like milling – it makes more sense to outsource it to a company that specializes in milling various materials. It’s even better if you can find a company that will store your material until you need it. That way, you won’t need to buy a bunch of equipment and attempt to figure everything out on your own. If you try to do it yourself, the learning curve will be costly. Unless you have the space, funds, and experts on hand to manage onsite processes, it’s best left to the pros.

Your workload is overwhelming

Whether you’re handling everything or passing the tasks to employees, if workloads are overwhelming, that’s a sign it’s time to outsource. When tasks pile up and deadlines are consistently missed, it’s a clear sign that additional help is needed.

If you dig into the cause of missed deadlines, you might find that your workers don’t have a full understanding of the requirements because it’s a task that falls outside of their expertise. It’s not fair to hold employees responsible for tasks they aren’t trained or qualified to perform just to save some money. By investing in outsourced expert services, your team will be able to focus entirely on their main roles, and you’ll start meeting deadlines.

Your business isn’t growing

If you’re actively trying to grow your business, but you keep getting stuck because you’re too busy with tasks, outsourcing can help. Outsourcing can eliminate bottlenecks by freeing up resources needed for expansion.

How to outsource and free up your time

Now that we’ve covered the signs that indicate you need outside help, let’s dive into how to start outsourcing.

1. Prioritize your needs

Not all tasks are equal in priority. Make a list of your top priorities and outsource those first. For example, payroll, IT support, and customer service can be handled by external providers so you can focus on more strategic tasks.

Important, but time-consuming processes should be high on your list. Tasks that consume significant time without adding serious value to your business are ideal to outsource. This includes tasks like data entry and scheduling.

In addition to tasks that don’t require much skill, roles that require specialized expertise, like digital marketing, should be outsourced to professionals with the necessary skills and experience.

By outsourcing your most important tasks, your output will be higher quality, turnaround time will be faster, and you’ll have more time to work on growing your business.

2. Find your outsourcing partners

Once you know what to outsource, it’s time to find some partners. Make it a priority to find vetted, reliable professionals with proven track records and client testimonials that support a positive reputation. However, be aware that there are scammers out there who use fake testimonials and credentials. You really need to do your research before hiring an individual or company.

If you’re not using a site like Fiverr or Upwork that only allow real customers to review services, search Google and social media sites to find out what real people are saying about a company before you hire them.

3. Pave the way for a smooth transition

It’s important to make the transition smooth when you start outsourcing tasks to an outside professional. Make sure to provide detailed guidelines and expectations to your outsourcing partner and establish a schedule for checking in to monitor progress and address concerns. Defining measurable Key Performance Indicators (KPIs) will help you assess a partner’s performance and ensure they’re meeting your requirements.

Embrace strategic outsourcing for sustainable growth

Outsourcing can lighten your workload and help you grow your business. By offloading complex or time-consuming tasks to experts, you’ll free up time and gain access to specialized skills that drive results. With the right partners in place, you’ll scale faster and gain a competitive advantage in your market.
