Expensya completes its homologation with the Tax Agency

It’s official, Expensya has finished the process of homologation with the Tax Agency, a very important advance that will simplify the management of expenses for companies and freelancers, and that has already been implemented in a very simple, intuitive and easy-to-use way, as we will see in this article.

Expensya has integrated a new function identified as a padlock, which allows to quickly identify if the documents that we have uploaded to the system by taking a photograph, either from the application or through its scanner, They have the approval of the State Tax Administration Agency (AEAT). This is very useful since it allows, in short, to offer all those involved in the payment process visual confirmation of the receipts entered on the platform have legal validity.

The Expensya lock can be seen next to each document uploaded to the system, and will appear closed when it complies with all the conditions of Order EHA / 962/200 of the AEAT. In case the receipt does not meet the requirements, it will appear open to alert users that it is not possible to get rid of the paper version. It is a very simple and very practical approach, really.

Well, what are the requirements that scanned documents must meet? The Tax Agency does not require a particular scanner brand, but it is necessary to respect a series of conditions:

  • The document obtained must have at least a resolution of 200 dpi.
  • Driver Twain must be used.
  • The scanner must be OCR-aware.
  • The scanned image must respect the geometry of the scanned paper document.
  • The image must contain all the information found in the paper document.

Likewise, the process of integrating the document (invoice) in the approved tool must not be interrupted. This is necessary because it is key to avoid manipulation of the supporting documents and thus prevent possible fraudulent actions.

By obtaining instant confirmation of whether the expenses uploaded to Expensya are approved by the AEAT, we can forget about having to store in physical format invoices and other supporting documents for expenses. This will allow us to simplify their management, and will allow us to make sure that everything will be prepared in case we have to face an audit.
